What Is Reply Rate?
Reply rate measures how many outbound messages, whether email, text, or direct message, draw any response from the prospect. It shows whether a campaign is getting noticed and answered, but the raw figure includes refusals and automated replies, so teams also track positive replies on their own.

Reply Rate explained
The calculation starts with a choice of denominator. Dividing replies by messages sent understates performance when some messages bounce or never deliver, so many teams divide by delivered messages or by unique prospects contacted. The numerator needs rules too. Out-of-office notices and auto-responders are not replies from a person. An unsubscribe request, or a text that says STOP, is a real response but not interest. Sorting replies into positive, neutral, and negative is what gives the metric meaning.
Reply rate sits between delivery and meetings. When it is low, check whether messages are reaching inboxes and phones before rewriting copy, since poor deliverability and a stale list both look like weak messaging. When replies are healthy but meetings are not, the answers are probably curiosity or objections that the follow-up never turns into a conversation. Managers read it by sequence step, persona, and send time to see which touch earns the answer, not just the campaign total.
High reply rates can mislead. A provocative subject line or a vague offer may draw plenty of replies that never become meetings. Counting every response as a win also hides complaints, which damage sender reputation on email and invite carrier filtering on text. Finally, reply rates from different channels are not comparable: a text and a cold email are read, and answered, in different ways.
Why it matters when you're buying
Reply rate answers the first question in outbound, which is whether anyone responds, and it is the easiest number to inflate. Ask any vendor or internal team for positive replies as a separate figure, along with the denominator used. Without both, a good-looking reply rate can hide weak targeting, a mismatched offer, or a deliverability problem building underneath.
