CRM is left out on purpose. It is its own decision with its own tradeoffs, covered separately, and adding an unpriced placeholder into this total would make the number below look more precise than it is.
The Lean Stack: $366 a Month

$21 plus $60 plus $240 plus $45 comes to $366 a month for a 5-person, 12-client agency running this specific combination, before CRM and before any add-ons like AgencyAnalytics’s optional AI Tracker or Rank Tracker modules.
The Fuller Stack: $654 a Month
Swap in a pricier vendor in each category and the total climbs fast. Proposify’s Team tier runs $41 a user a month on annual billing; for 5 users that is $205 a month. Asana’s Advanced tier runs $24.99 a user a month on annual billing, roughly $125 a month for 5 users. DashThis’s Business tier, its own “most popular” plan, runs a flat $279 a month regardless of team size, covering up to 25 client dashboards. Harvest’s Teams tier runs $9 a seat a month whether billed monthly or annually; for 5 seats that is $45 a month.
$205 plus $125 plus $279 plus $45 comes to $654 a month, for the identical 5-person, 12-client agency, using none of the same four vendors as the lean stack above.
Why the Gap Is $288, Not a Rounding Error
$654 minus $366 is $288 a month, or roughly 79% more for the fuller stack at the exact same team size and client count. That gap is not explained by extra tools or a bigger team. It is explained entirely by which named vendor happens to sit in each of the same four slots, since both stacks cover the identical four job categories: send a proposal, manage delivery work, report to clients, and track billable time.
The reporting dashboard line is the single biggest swing inside that gap. What This Total Deliberately Leaves Out
CRM is the obvious gap, and it is left out deliberately rather than filled with a placeholder number, since agency BD CRM options range from a free spreadsheet-replacement to a dedicated paid platform, a decision covered on its own terms rather than folded into this stack’s total. Add-on modules, AgencyAnalytics’s AI Tracker and Rank Tracker among them, are also excluded from both totals above, since they are optional rather than part of either vendor’s base plan.
