What Is Xactimate?

Xactimate is estimating software that turns roof measurements and damage findings into a priced, line-by-line repair estimate. Insurance carriers and roofing contractors both use it, which is why an adjuster’s scope and a contractor’s counter-estimate can be compared item against item.

Xactimate is estimating software that turns roof measurements and damage findings into a priced, line-by-line repair estimate. Insurance carriers and roofing contractors both use it, which is why an adjuster’s scope and a contractor’s counter-estimate can be compared item against item.

Xactimate explained

An Xactimate estimate is built from line items. Each line names one task or material, such as tear-off, underlayment, shingles, or pipe flashing, and carries a quantity, a unit, and a unit price taken from a regional price list that the software publisher refreshes on a regular schedule. The estimate then totals the work, applies depreciation where the policy calls for it, and subtracts the deductible to reach the payment amount.

On a storm job the adjuster’s estimate is often written in Xactimate, and it is the document the homeowner receives after the inspection and the first thing a roofing rep should ask to see. Reading it shows which items are included, how many squares were counted, and what was left out. Contractors often build their own estimate in the same format so that a supplement request lines up with the carrier’s file row by row instead of arriving as a letter.

Two people can open the same program and reach different totals, because quantities, included items, and price-list settings all move the result. The software prices a scope; it does not decide what a policy owes. Its unit prices are regional averages that a local crew’s real costs can beat or miss, and a contractor’s Xactimate figure is a documented request, not an amount the carrier has agreed to pay.

Why it matters when you're buying

Reading the adjuster’s estimate lets a rep name the missing line instead of saying the number feels low, and that precision is what earns an adjuster’s attention. It also keeps promises realistic, because the software prices a scope while the carrier still decides what the scope includes. Homeowners trust the person who explains the page in front of them.

Frequently Asked Questions

Do insurance companies have to use Xactimate?
No. Many carriers and contractors use it because it is the common format for property claims, but a carrier can estimate with other software or its own pricing methods. Whatever the tool, the estimate is normally itemized, and the insurer can be asked for the copy attached to the claim.
Why is my roofer’s Xactimate estimate higher than the adjuster’s?
The usual causes are different quantities, items the adjuster did not include, such as code-required components or extra layers, and different price-list or labor settings. A higher contractor estimate is a documented request for review. The carrier may accept some lines, adjust others, or decline them.
Is an Xactimate estimate the same as a roofing quote?
No. An Xactimate estimate prices a repair scope using regional average costs. A quote or contract reflects one company’s own materials, labor, and terms. On insurance work the two are often compared, but they are separate documents and can differ, and the signed contract, not the estimate, sets the contractor’s price.
