What Is a Confirmation Call?

Between booking and the visit, a confirmation call checks that the homeowner still plans to be there. It reconfirms the time, the address, and who needs to attend, and it surfaces problems early enough to reschedule before a rep drives out.

Pay only for booked appointments. No retainer.

Confirmation Call explained

The contact is usually a phone call, often paired with a text, placed the day before and sometimes again the morning of the visit. A good confirmation restates the date and time, the address, who must be present, and what the visit is for, and then asks directly whether anything has changed. A voicemail or an unanswered text is an attempt, not a confirmation.

In roofing, confirmation protects an expensive resource: the estimator’s drive time and prepared estimate. It also catches wrong assumptions: the person who booked is not the owner, the decision-maker will be traveling, or another contractor already started. Companies that buy appointments should ask how many confirmations a vendor performs and how they are logged. An appointment the homeowner picked and then reconfirmed behaves very differently from one set once and forgotten.

Confirmation goes wrong when it turns into a second sales pitch, when it is a robotic reminder nobody reads, or when messages ignore consent. Calls and texts still have to respect the consent the homeowner gave and quiet-hour rules. Another trap is counting auto-replies or delivered messages as confirmations. A real confirmation is a response from the homeowner; silence is not one.

Why it matters when you're buying

Confirmation is the cheapest way to protect an estimator’s day. Teams that make it routine lose fewer trips to empty driveways and learn about problems while there is still time to reschedule. VA Horizon books exclusive, double-confirmed appointments, which means the homeowner picks the time and confirms it again before the visit.

Frequently Asked Questions

When should a confirmation call be made for a roofing appointment?
Commonly the day before the visit, and often again the morning of, with a text alongside the call. The timing should leave room to reschedule if something changed. Reconfirm the address, time, and who needs to be present, and record what the homeowner said.
Does a confirmation text count as a confirmation?
Only if the homeowner replies. A delivered message shows the text was sent, not that the homeowner plans to be there. Count a confirmation when the homeowner responds in their own words, and try a call if there is no reply.
Why do roofing appointments still no-show after confirmation?
Plans change, some homeowners agree politely and then reconsider, and a competitor may get there first. Confirmation reduces the problem but does not eliminate it. Asking who must attend and what has changed, and keeping the call short and useful, gives it the best chance.
